Public parks and beaches are lovely options for an outdoor gathering. Availability is first come, first served and permits may be required depending on location.

The Process

How It Works

Submit Your Inquiry

Complete the inquiry form with your preferred date, guest count, location, and occasion so we can begin designing your experience.

Confirm Your Date

Once availability is confirmed, a 50 percent non refundable retainer secures your booking. Dates are not held without a retainer.

Design & Final Details

We finalize styling direction, florals, enhancements, and venue details. Final guest count is due 7 days before your event.

Arrive & Enjoy

We arrive early to style everything beautifully. Once your reserved time ends, we return for a seamless takedown.

The Details

Booking Details

Three hour experience included in all packages. Additional time available at $30 per hour.

Bookings require a 50 percent retainer to secure your date. Remaining balance is due 1-2 days prior to your event.

Damage deposit may be required for select bookings.

Public park permits are the responsibility of the client unless otherwise arranged. I will help you through this process.

Weather policy: In the event of poor weather, one reschedule will be offered based on availability within the same season.

Important to Know

Cancellation Policy

Bookings require a 50 percent non refundable retainer to secure your date.

Cancellations made more than 14 days before your event may transfer the retainer to a new date within the same season, based on availability.

Cancellations made within 14 days of the event are non refundable.

In case of severe weather, one reschedule will be offered based on availability.

Ember & Oak reserves the right to adjust styling for safety in high winds or unsafe outdoor conditions.

Frequently Asked Questions

How long is each picnic experience
All packages include three hours. Additional time may be added at $50 per hour.
What happens if it rains
We monitor weather closely and will communicate options. You may reschedule once within the same season based on availability.
Is alcohol included
We provide sparkling juice or sparkling water. Alcohol is not supplied. Please check venue regulations if bringing your own.
Can I choose a theme
Yes. We love incorporating colour palettes and subtle themes. Share your vision in your inquiry form.
Do you provide venues
We can recommend wineries, private spaces, and local venues. Public parks may require permits.
Is a damage deposit required
Select bookings may require a refundable damage deposit depending on guest count and enhancements.
How far in advance should I book
We recommend booking at least three to four weeks in advance, especially during peak summer months.
